An unemployment notice about your worker came to you or your client. What should you do?

Applies to: Staffing Partners, and the clients where their workers are placed, when a state unemployment agency writes about a US W-2 worker employed through Ascen. Independent contractors are generally not covered by state unemployment insurance, and Canadian employees claim Employment Insurance through Service Canada, so this does not usually come up for them.

Summary: Ascen is the employer of record for these workers, so Ascen (Ascen Workforce, LLC) is the employer that answers the state unemployment agency. If a notice about one of your workers is addressed to you or to your client, forward it to support@ascen.com as soon as it arrives and we will handle it from there. Neither you nor your client needs to respond to the agency.

Why it arrives at the wrong door

Workers usually think of the agency that placed them, or the business where they work every day, as their employer. When they file a claim they may give that name, and the state then writes to that business. This is common and it does not mean anything has gone wrong. What to do

  1. Forward the notice to support@ascen.com the day it arrives. Send every page, and include the worker's name and, if you know them, the client and assignment. These notices usually carry a response date, so do not hold on to it.

  2. If the notice shows the worker's full Social Security number and you would rather not email it, write to support@ascen.com first and ask for a secure upload link.

  3. Let your client know it has been passed to us. They do not need to take any action.

  4. Do not reply to the agency yourself, and do not describe the worker's employment or their reason for leaving to the agency. We respond as the employer.
