Why does my ID keep failing verification when the photos are clear?

Applies to: anyone whose identity or Form I-9 documents keep coming back rejected during onboarding. The document lists (A, B and C) are part of Form I-9, which US W-2 employees complete — independent contractors, Canadian T4 employees and workers outside the US verify their identity but never choose an I-9 document list, so that part of this article will not apply to them.

Summary: If your photos are clear and your document is valid and unexpired, the usual cause is that the document type you selected on the previous screen is not the document you actually uploaded. The two have to match. The system compares what you chose against what you sent and will not work it out for you, so the upload keeps failing no matter how good the photo is.

The two most common versions of this

  • You select List B + C and then upload a passport. A passport is a List A document, so the upload does not match the selection.

  • You select List A and then upload a driver’s license or state ID. Those are List B documents, and a List B document has to be paired with a List C document.

How the lists work

  • List A proves your identity and your authorization to work, on its own. A US passport is the common example.

  • List B proves identity only — a driver’s license or state ID card, for example. It never stands alone.

  • List C proves work authorization only — an unrestricted Social Security card or a birth certificate, for example.

So you provide either one List A document or one List B document together with one List C document. Two documents from the same list do not work: a Social Security card and a birth certificate are both List C, so that pair is rejected. How to fix it

  • Log in at app.ascen.com and go back to the document step — see How do I complete the Form I-9?.

  • Decide which document you are actually going to use, and have it in your hand before you start.

  • Select the type that matches that document exactly. If the document you are uploading is a driver’s license, choose the driver’s license option under List B, then add a List C document to go with it.

  • Upload it. If you have a passport, using it is the simplest route — it is a single List A document, so there is no pairing to get wrong.

If the selection is right and it still fails

Then it probably is the photo or the document itself.
