Why am I being asked to complete a new Form I-9?

Applies to: US W-2 employees. Form I-9 is an employment requirement, so independent contractors, Canadian T4 employees and international workers are never asked to complete one.

Summary: If you haven't worked on an active assignment for more than a year, you'll be asked to complete a new Form I-9 before you can start working again. This is a normal, federally driven step — not a sign that anything is wrong.

What's happening

You received a message titled "Action Required: Complete a New Form I-9." This is due to a gap in your employment with Ascen exceeding one year. According to our policy, a new Form I-9 must be completed before you begin your next assignment, as your previous Form I-9 is no longer valid for this purpose.

Until the new Form I-9 is completed and verified, you won't be able to begin working on assignment or enter time.

Why this is required

Form I-9 verifies your identity and authorization to work in the United States. Federal rules treat returning to work after a long gap much like being hired for the first time, so a new Form I-9 is completed rather than reusing the old one. Completing it keeps your employment paperwork current and compliant.

What you need to do

  1. Log in to your dashboard and complete Section 1 of a new Form I-9.

  2. Choose an Authorized Representative to review your original identity and work-authorization documents and complete Section 2. This can be a trusted adult — they don't have to be your employer or coworker.

  3. Wait for verification. You may not report to the work site until your new Form I-9 is completed and verified.
