My required training is expiring or has expired — how do I renew it?

Applies to: US and Canadian workers who have been assigned a mandatory training in the Ascen portal — W-2 employees, T4 employees, and independent contractors. If you work outside the US and Canada, your onboarding and training are handled by your in-country HR partner, so this article does not apply to you.

Summary: Some required trainings have to be retaken on a schedule rather than just once. You will see a notice in the Ascen portal shortly before yours expires, with a Renew Training button that opens the training right there. You can renew before it expires without losing your current, still-valid completion.

Why a training you already finished is being asked for again

Some compliance trainings — harassment prevention and similar state-mandated courses are the common ones — have to be repeated on a set schedule instead of being satisfied once and for all. How long a completion lasts depends on the individual training, and which trainings you are required to take at all depends on your work location, your role, and your assignment. Trainings that carry no repeat schedule stay complete and you will never be asked to retake them.

If your completion was recorded from a certificate you provided rather than from taking the course in the portal, it still expires on the same schedule.

How you'll be told

Shortly before a training expires — about a week ahead — a notice appears in the Ascen portal when you log in:

  • Training expiring soon — your training has not lapsed yet. It tells you the exact date it expires and invites you to renew now.

  • Renew your training — the date has passed and the training has lapsed. It tells you the date it expired and asks you to complete it again.

These notices appear in the portal only — there is no email for them, so log in and check if you are not sure where a training stands. You can close a notice, but closing it does not complete the training; it will come back.

How to renew your training

  1. Log in at app.ascen.com.

  2. Find the training notice on your dashboard.

  3. Click Renew Training. The training opens in a window right there — you do not need to go back through your onboarding checklist to find it.

  4. Work through the training to the end. If it has a quiz or a passing score, you need to pass it as well as finish it.

  5. Close the window when it is done. Your new completion is recorded and the notice clears.

Renewing early — what to know

You can renew as soon as the notice appears, and it is worth doing. Two things follow from how it works:

  • You stay covered while you retake it. Starting the new training does not cancel your current completion, so you are not treated as out of compliance part-way through.

  • The clock restarts from the day you finish the new one, not from your old expiry date. So renewing several days early means giving up those few days at the far end. It is a small trade for not risking a lapse, but it is why the notice does not appear months in advance.

If the training lapses

Once the expiry date passes, the training shows up as outstanding again on your onboarding checklist until you complete it, and it is visible that way to your staffing Partner and to Ascen. Complete it as soon as you can. If you are unsure whether a lapsed training affects your current assignment, ask — do not guess.
