A tax was withheld that you do not think you owe

Applies to: US W-2 employees paid through Ascen who believe a payroll tax was withheld in error — for example a state or local tax for the wrong place, or a tax you believe an exemption applies to. Independent contractors have nothing withheld from their payments, so this does not apply to them.
Summary: Tell us what you think is wrong and send the document that supports it. A correction has two halves that are fixed separately: your setup going forward, and money that has already been withheld. The first is usually quick. The second is returned through a payroll adjustment and takes noticeably longer.
First, check the obvious causes
Your address. State and local taxes follow the addresses on your record, so an old or mistyped address quietly produces the wrong state’s withholding and the wrong state forms. See How to update your personal information (address, name, phone, email).
Living in one state and working in another. That normally means two states appear, which is not an error — see Working or living in more than one state: how state taxes work.

Updating your W-4 is not the fix for every tax
The Form W-4 and its state equivalents control income-tax withholding only. Social Security and Medicare are set by federal law and are not something you elect on a W-4, so re-submitting withholding forms will not change them — see Why wasn’t any federal income tax withheld from my paycheck?. What to send us
Email support@ascen.com with:
the pay date and the exact line on the stub, as it is worded;
what you believe should have applied instead, and from when;
the document that supports it. We cannot change a tax setup on request alone — if you are claiming that a particular treatment or exemption applies to you, we need to see the paperwork that establishes it, and we will tell you exactly which documents those are.
What happens next, and how long it takes
Going forward: once the documentation is reviewed, your tax setup is updated so later paychecks are calculated correctly.
Money already withheld: this is returned through a payroll adjustment rather than as an instant refund. Adjustments of this kind typically take several weeks, not a day or two, because the correction has to be made in the payroll record before the money can be released.
You will hear from us when the update is confirmed and the amount is ready. It is fine to ask for a status update in the meantime — reply on the same email thread so the history stays together.
If the tax year has already closed by the time a correction is made, a corrected year-end form may be needed as well. Tell us if you have already filed, because that changes what we need to do.
