How do I fill out my US contractor tax form (W-9)?

Applies to: US independent contractors (1099 / corp-to-corp). Employees complete a W-4 instead; international contractors complete a W-8BEN / W-8BEN-E.
Summary: The Form W-9 gives Ascen your legal name and taxpayer identification number (TIN) so your payments can be reported on a 1099-NEC. You complete it during onboarding, and you can't be paid without a valid W-9 on file — payouts are blocked until it's complete.
What the W-9 is for
No taxes are withheld from independent-contractor payments. Instead, what you're paid is reported to the IRS on a 1099-NEC — and the W-9 is where that reporting information comes from.
How to complete it
You'll hit the W-9 step during your onboarding in the Ascen platform:
Name — your legal name exactly as it appears on your tax return. If you operate through a business entity, use the entity's legal name and put any DBA on the business-name line.
Federal tax classification — individual/sole proprietor, LLC (with its tax treatment), or corporation, matching how your entity actually files.
TIN — your SSN or, generally, an EIN if you are a sole proprietor; entities should use an EIN. The name + TIN combination must match IRS records — mismatches cause reporting problems and can trigger backup withholding.
Certify and sign electronically.
Why it blocks your payments
A valid W-9 is required before any distribution can be sent to you. If your W-9 is missing or invalid, your payments hold until it's fixed — this is the first thing to check if you're onboarded but haven't been paid.
Keeping it current
Submit an updated W-9 if your legal name, entity, or TIN changes (for example, you incorporate and switch from SSN to EIN). Email Ascen at support@ascen.com if you need to replace the form on file.
