Can I add more than one time entry for the same day?

Applies to: Workers who enter their own time in Ascen — US W-2 employees, US independent contractors, and Canadian T4 employees. If you are an international employee working outside the US and Canada you do not enter time in Ascen at all, so this does not apply to you. If your staffing Partner or client submits hours for you, you will not see an Enter Time button.

Summary: Yes. You can add as many entries as you need for a single day — add one entry per block of time you actually worked and click Submit after each one. You do not have to squeeze a split day into a single long entry, and you should never change your real start or end times to make an entry go through.

Add one entry per block you worked

People often assume a day has to be one entry, so a day that was interrupted gets recorded as one long stretch with a very large break. You do not need to do that.

Say you worked 9:00 am to 12:00 pm, went to an appointment, came back and worked 2:00 pm to 5:00 pm, then did another 7:00 pm to 9:00 pm. Enter it as three separate entries on the same date:

  • 9:00 am – 12:00 pm, 0 minutes break — Submit

  • 2:00 pm – 5:00 pm, 0 minutes break — Submit

  • 7:00 pm – 9:00 pm, 0 minutes break — Submit

Click Enter Time again for each one. This records eight paid hours and keeps an accurate picture of when you were actually working.

There is no separate "submit the week" step

Submitting each entry is submitting your time — there is no extra action at the end of the week to send the whole timesheet. You can enter your time at the end of each day or do the whole week in one sitting, whichever suits you.

If you did not take a break

Enter 0 in the break minutes field. An unpaid break is subtracted from your total, so recording a break you did not take means you are paid for less time than you worked.

Some work locations have detailed meal- and rest-break rules and the portal will ask for more — a start and end time for each break, or a prompt to confirm or waive a break. Break rules vary by work location, so follow the prompts your portal shows you and answer them accurately.

Never adjust your hours to get past an error

If the form will not accept your real hours, the answer is not to change them. Do not extend your finish time, and do not add a break you did not take, just to make the entry submit. Your timesheet is the record of what you actually worked, and it may be checked against your client's own records.

Instead, email timesheets@ascen.com with the date, your real start and end times, your unpaid break if you took one, the assignment, and a screenshot of the error. We will enter the hours for you.

Before the deadline, you can fix your own entries

Timesheets are due weekly by 11:59 PM Sunday, and you can edit or delete an entry that is still awaiting approval up to that point. After the deadline the week is locked and you can no longer add or change your own hours. Once an entry has been approved it can no longer be edited either.
