Business verification (KYB) — what to have ready and how long approval takes

Applies to: staffing Partners setting up an account with Ascen, where business verification is part of your onboarding. Workers do not do this — independent contractors have their own separate verification step.

Summary: Before your first assignment can go live we verify your business. Gather four things up front — your business registration details, your beneficial owners, photo ID for identity verification, and your payout bank account. Review normally takes 24 to 48 hours after you submit, and it is not automatic.

What we ask for

You will see the same list in your invite email and on the Business Verification step of onboarding. Having it ready before you start is the single biggest thing that shortens the process.

  • Business registration information — your legal entity name, entity type, EIN or tax ID, and the business address as registered.

  • Beneficial owners — the name, address, date of birth and ownership percentage of everyone who owns 25% or more of the business.

  • Identity verification — a government-issued photo ID for you. Each beneficial owner also completes their own identity verification, through a link we generate for them individually.

  • Banking information — the bank account we send your distributions to. We cannot pay out until it is on file.

How to complete it

  1. Open the invitation email and create your account, or log in at app.ascen.com if you already have one.

  2. Work through onboarding to the Business Verification step and choose Complete Business Verification.

  3. Enter your business details and list your beneficial owners.

  4. Complete your own identity verification, then return to the onboarding page to continue. Each beneficial owner receives their own link and completes theirs separately.

  5. Add your payout bank account on the Payout Method step.

How long review takes

Review normally takes 24 to 48 hours from the time you submit. It takes longer if information is missing.

Approval is not automatic. A person reviews every submission — submitting is not the same as being approved.

There is one case worth knowing about, because it is the most common reason a partner thinks they are waiting when they are not: if a beneficial owner has not finished their identity verification, review has not started. Your onboarding page will say so. The 24-to-48-hour window only begins once every owner has completed their part, so the fastest thing you can do is chase whoever still has an open link.

What is blocked until it is approved

  • Assignments cannot go live. You can create clients, jobs and assignments in the meantime, but they will not be approved to start until your business verification is approved.

  • Distributions cannot be paid out until your payout bank account is on file. If you skip business verification during onboarding to come back to it later, distributions stay blocked until it is done.

This is why it is worth doing early rather than at the point your first worker is ready to start.

Email support@ascen.com — for anything to do with your account, your verification, a link that will not open, or a beneficial owner who cannot complete their step. If something is unclear or missing from your submission we will come back to you about that specific item rather than asking you to start over.
