Why can’t I add a worker when their email is already in use?

Applies to: Partner users creating or editing assignments in the Ascen portal. This is about the error you see at the Contractor step, not about a worker's own login problems.

Summary: The worker already exists on the Ascen platform, so the email address cannot be used to create a second record. Do not try a different email address. Go back to the Contractor step and search for the person by name or email and select the existing record instead of clicking Make New Contractor. If the search does not find them, they exist under another agency's account — send the details to us and we will connect the records.

What the error actually means

Every worker on the platform has one record, keyed to one email address. When you click Make New Contractor and type an email we already hold, the platform stops rather than creating a duplicate person — and the message names the email, which makes it look like a typo or a formatting problem. It usually is not.

The two common reasons the email is already known to us are:

  • You (or a colleague) already added them. Someone created the contractor record ahead of the assignment, so the person is there to be selected rather than created.

  • They have worked through a different staffing agency before. Workers keep one record across the platform, so a person placed by another agency in the past is already on file. You will not necessarily be able to see that record, which is why the search can come up empty while the email is still "in use".

What to do

  1. On the Contractor step of the assignment, search by the worker's name or email address and pick them from the results. Do not click Make New Contractor.

  2. If they appear, select them and carry on through the rest of the assignment as normal.

  3. If the search returns nothing but you still get the error, stop there and email support@ascen.com. Tell us the worker's full name and the email address you are trying to use, and that you are hitting "Email is in use" on an assignment. We can see records across the platform, and we will either point you at the existing record or link the accounts so you can create the assignment.

Why not just use a different email address

Because it works, and then causes a worse problem. A second record for the same person splits their history in two: onboarding steps, tax details, screening results and pay can end up attached to whichever record is not on the live assignment. Unpicking that afterwards takes us longer than linking the accounts would have taken up front, and it can hold up the worker's pay while we do it. A duplicate record is also the usual cause of the worker-facing Why does onboarding say my Tax ID is invalid? error, because the tax details already exist under the first record.

If the same person genuinely needs two different kinds of account — for example a worker account and a partner-user account for your own team — that is a separate case with its own rules, and those really do need two different email addresses. Ask us before creating anything.
