You received a timesheet approval email that isn't yours

Summary: If a timesheet approval email reaches you for a worker you don't manage — or lists people you don't recognise alongside one you do — don't approve the ones you can't vouch for. Email support@ascen.com and tell us who the right approver is. We'll update the account so future emails go to them.

Why this happens

Approval emails go to the timesheet approvers recorded on your account. Approvers can be set for a whole client, for a specific work location, or for an individual assignment — so a list that was right when the account was set up drifts out of date as people change roles, new sites open, or new workers start. Common cases:

  • You've moved roles, or someone who approved time has left.

  • You cover one site or one department, but you're recorded at the client level, so you receive everyone.

  • A worker was placed at a different location and inherited the default approver.

  • You were copied for visibility and read it as a request to act.

What to do

  1. Approve only what you can confirm. If the email lists several workers and you can only vouch for some, approve those and tell us about the rest — it's fine to say "I approve this one, I don't know the others."

  2. Email support@ascen.com with the name and email address of the person who should be approving, and whether that applies to one worker, one location, or the whole account.

  3. Tell us if it should apply going forward. Say so explicitly if new starters at that site should route to the same person — otherwise we'll only fix the assignment in front of us and you'll get the same email again when the next worker starts.

Once we've made the change we can re-send the approval request to the correct person, so the current week isn't held up.

Please don't just forward it
