How do we confirm you received our payment?
Last updated: October 27, 2026
Applies to: Clients who pay their invoices to Ascen. If your invoices come from your staffing agency, or the payment details on your invoice say to pay your agency directly, ask your agency whether they have received your payment.
Summary: Check the invoice's status in your dashboard. If it shows Paid, we have received your payment and applied it to that invoice. If you have sent payment and the invoice still shows as Open, email accountsreceivable@ascen.com with the invoice numbers and your payment details, including the remittance advice or payment confirmation, and we will check our payment records.
Check the invoice status in your dashboard
Log in to your Ascen dashboard and go to Invoices. Each invoice shows its status and the amount due. Open an invoice to see its detail; the banner at the top tells you if it has been paid or has a payment in progress.
What each status means for your payment:
Paid: we have received payment for this invoice and applied it, so the invoice is settled.
Open: the invoice has been issued and has not been fully paid yet. A payment that is short of the full amount normally leaves a balance on the invoice, and the invoice stays open until the balance is paid.
Payment processing: a payment on this invoice has been started but has not finished yet, so it is not marked paid. If an invoice keeps showing a payment in progress, email us.
If you paid and the invoice still shows as open
A payment shows on your invoice once it has reached us and been matched to that invoice. If you have sent payment and the invoice is still open, email accountsreceivable@ascen.com with:
The invoice number or numbers the payment was for.
The amount sent, and which invoices it was meant to cover if one payment paid several.
How you paid: ACH, wire, check, or card.
The date the payment was sent.
The account or address you sent it to, for example the last four digits of the account, or the address you mailed the check to.
The check number or payment reference, if you have one.
Who sent the payment, if it came from someone other than your company (for example, another organization that pays invoices on your behalf).
A copy of the remittance advice or payment confirmation, if you have one.
We will check our payment records and tell you whether the payment has been received. If it has not arrived, the remittance advice or payment confirmation is what lets us investigate further.
Never send full bank account or routing numbers by email. The last four digits and the invoice number are enough for us to find the payment.
If an invoice you paid by bank is open again
If your bank returns a payment, the invoice goes back to open and the full balance shows as unpaid again. See Your bank returned a payment on an Ascen invoice for what to do next.
If your payer needs our banking or vendor details first
If your accounts payable team, or another organization that pays for you, needs our W-9, remittance and banking details, or a completed vendor setup form before they can pay, see Requesting Ascen's W-9, remittance details, or vendor forms. If they have already sent us a form, you can email accountsreceivable@ascen.com to check that it has been completed.
Help us apply your next payment
When you pay, send your remittance notice to remittance@ascen.com, as described in How do I pay invoices?. It tells us which invoices the payment covers, so it is applied to the right ones. To ask whether a payment has arrived, use accountsreceivable@ascen.com.
