How do I update my business or entity name?

Applies to: US 1099 independent contractors and international independent contractors who work through a registered business — including corp-to-corp. Summary: Your business (entity) name is the name we use on your agreements and your year-end tax forms, so it cannot be edited from your account once your onboarding is complete. Email support@ascen.com to request the change. While the request is being reviewed, payments on your account are held until it is resolved — so send it in as early as you can.

What your business or entity name is used for

If you work through a registered business — an LLC, a corporation, or any other legal entity — that entity's name is what appears on your contract paperwork and on the tax form we issue you at the end of the year. It also has to match the business you are actually paid as. That is why it is not a free-text field you can change at any time.

If you work as an individual rather than through a business, your entity name is simply your own name, and there is nothing separate for you to maintain here.

How to request a change

  1. Email support@ascen.com from the email address on your account.

  2. Tell us the exact name you want on file, spelled and punctuated the way it appears on your registration documents.

  3. Say why it is changing — for example, you renamed the same business with your state, or the business was acquired.

  4. Have your supporting documents ready. We may ask for the registration or amendment paperwork showing the new name.

If you are still working through onboarding and have not finished it yet, you may still be able to correct the name yourself in the onboarding forms. Once you have completed onboarding, the field is locked and the request has to come to us.

What happens while your request is open

Payments on your account are held until the request is resolved. This is deliberate: paying under the wrong entity name creates a tax-record problem that cannot be undone afterwards, so we stop payments rather than risk it. Once the change is approved or declined, payments resume normally. If a pay date is coming up, tell us in your email so we can prioritise it.

You do not need to do anything else while you wait. We will confirm by email when it is done.

Renaming a business is not the same as forming a new one

These two look similar and are handled very differently:

  • The same business, under a new name — for example you filed a name change with your state. We can update the name on your existing account.

  • A different legal entity — for example you closed a sole proprietorship and formed an LLC, or you set up a new company. This is not a rename. A separate legal entity gets its own records and its own year-end tax form, so more than a name change is needed and we will walk you through what that involves.
