I'm being prompted for Business Verification (KYB) and can't submit my timesheet

Applies to: independent contractors — US 1099 and international. Business Verification is part of contractor onboarding, so W-2 and T4 employees never see this screen. Contractors engaged through a corp-to-corp entity are also exempt.

If you log in to the Ascen platform and are redirected to a Business Verification screen instead of being able to enter your timesheet, this article explains why this happens and what to do.

Why am I being asked to complete Business Verification?

There are a few common reasons you may be prompted to complete Business Verification (also called KYB — Know Your Business):

  • New contractor onboarding: Independent contractors on the Ascen platform are required to complete Business Verification as part of the standard onboarding process. (Contractors engaged through a corp-to-corp entity are the exception — that entity is verified separately.) This includes providing information about your business entity and completing an Individual Information section (which may include ID verification).

  • Incomplete verification: You may have started the KYB process previously but not fully completed it. For example, you may have completed some onboarding steps that were not part of the Business Verification process itself, so the KYB still needs to be finalized.

  • Compliance review: Periodically, Ascen may retrigger business verifications as part of an internal compliance review. This is expected behavior and not a system error.

  • Assignment status: In some cases, your assignment may have been marked as complete, which can prevent timesheet entry. Contact support to have your assignment reactivated.

What should I do while my verification is being reviewed?

Business verification review can take 1–2 business days after submission. While your verification is pending, you will not be able to enter your timesheet directly in the system.

In the meantime, you can send your hours to Ascen support at timesheets@ascen.com and the team will enter them on your behalf. Please include your start time, end time, and break times for each day worked.

How do I complete the Business Verification?

Follow the prompts in the Ascen platform to complete each step of the Business Verification process. The steps typically include:

  1. Business entity information

  2. Individual Information section (may include ID verification such as a driver's license and Tax ID)

  3. Beneficial Owner verification

If you started the process but did not finish, check your email for a message from Ascen with a link to complete the remaining steps.

If you selected the wrong entity type or need your verification reset for any reason, contact Ascen support and they can reset your KYB inquiry so you can start again.

Is it safe to submit my personal information?

Yes. Business Verification is a standard compliance requirement for all independent contractors on the Ascen platform, and it exists because we are legally required to confirm who we are paying before money moves. The identity steps (including ID upload and face scan) are handled by a specialist identity-verification service under contract to Ascen, using encrypted transfer. What if my verification is approved but I still can't submit time?

An incomplete Business Verification does not only block timesheet entry — it can also stop payments from being processed, even for hours that were entered and approved normally.

If your hours are being approved but no payment is being issued, check whether you have an outstanding Business Verification step waiting for you when you log in.

Completing the verification is what releases the held payments. Once it clears review, the outstanding payments are processed. If you cannot see the step, or you think you already completed it, email support@ascen.com and ask us to check your verification status.
