When do I enroll in healthcare benefits?

Applies to: US W-2 employees. Healthcare benefits are an employment benefit, so independent contractors do not receive them, and if you are employed in Canada or outside the US your benefits follow your own country's setup — see Does Ascen provide healthcare benefits?.

Summary: You enroll in healthcare benefits during onboarding, in the Ascen portal. Your elections are made on the benefits step of your onboarding checklist. Enrolling and your coverage starting are two different dates — coverage begins after a waiting period measured from your hire date, not from the day you enroll.

When you enroll: during onboarding

Benefits enrollment is part of your onboarding checklist at app.ascen.com. When you reach the benefits step you will see the plans available to you, and you make your elections there.

Not every worker sees a benefits step. Eligibility depends on your assignment and your hours — the main medical plan has a minimum-hours requirement. See Who is eligible to enroll in healthcare benefits?.

Enrolling is separate from your coverage start date

These are two different dates, and mixing them up causes a lot of confusion:

  • When you enroll — during onboarding, as above.

  • When your coverage actually begins — after a waiting period measured from your hire date, not from the day you enroll. See When does my benefit coverage begin? for exactly how that date is worked out.

So you will normally enroll well before your coverage starts. That is expected — making your elections early means they are ready the moment your waiting period ends.

If you did not see a benefits step

  1. Check your eligibility. Not every assignment qualifies for every plan. See Who is eligible to enroll in healthcare benefits?.

  2. Check whether you have finished onboarding. If your onboarding checklist is still open, the step may still be ahead of you.

  3. Email support@ascen.com if you believe you should have seen a benefits step and did not. Tell us your full name and the email address on your Ascen account.

If you were enrolled or declined without choosing

If your benefits step recorded a decision you did not intend — it moved past your selections, or recorded a decline while you were still reading — it can be reopened. See How to get your benefits enrollment step reopened.

If your enrollment window has closed and you now want to make a change, you generally have to wait for the next annual open enrollment unless you have a qualifying life event such as a marriage, a birth, or losing other coverage. After you are enrolled

Once you are enrolled and your coverage is active, your plan is administered by UnitedHealthcare. You create your own UnitedHealthcare account to see your ID card, claims, and coverage — see How can I log into the UHC Flexwork Portal?.
