What is a Qualifying Life Event?
Last updated: September 21, 2026
Applies to: US W-2 employees enrolled in, or eligible for, the Ascen Workforce benefit program. Independent contractors, Canadian T4 employees, and international workers are not on these plans, so this does not apply to them. If you are not sure which you are, see Am I a W-2 employee or a 1099 independent contractor? (US).
Summary: Your benefit elections are locked for the plan year. A Qualifying Life Event (QLE) is the narrow exception — a major life change that lets you enroll in, change, or drop certain benefits in the middle of the year. You have 30 days from the date of the event to request the change, the change has to make sense given the event, and it cannot be processed without supporting documentation. Email support@ascen.com.
When your elections can change
There are only three moments when your benefit elections can change:
When you first become eligible as a new hire — see When do I enroll in healthcare benefits?
At Annual Open Enrollment, when you can change your elections for the coming plan year for any reason at all.
After a Qualifying Life Event, within 30 days, for a change that fits the event.
Outside those three, your elections stay as they are until the next Open Enrollment.
Why the exception is written so narrowly
Your premiums come out of your pay before taxes. IRS rules for pre-tax benefit plans only permit a mid-year election change when a specific life event has actually happened, and they require the change to be consistent with that event. Getting married lets you add your spouse; it is not an opening to switch to a different medical plan for unrelated reasons. That is why a QLE is not a general re-opening of your choices, and why documentation is required rather than optional.
What counts as a Qualifying Life Event
A QLE is a major life change that affects who needs coverage or what coverage you have access to. Common examples:
Getting married, or divorced or legally separated
Having a baby, or adopting or gaining legal placement of a child
The death of a spouse or dependent
Losing other health coverage — for example your spouse's plan ends, or they leave their job
Gaining access to other health coverage — for example your spouse starts a job with a plan that covers you
A change in employment status that affects benefits eligibility, for you or for a family member
A dependent becoming eligible, or ageing out of eligibility
Certain changes in residence that affect which plans are available to you
The healthcare.gov glossary entry for a qualifying life event lists the common categories. If your situation is not obviously on the list, ask us — ask inside the 30 days rather than after.
What is not a QLE
These come up often and are not qualifying events on their own:
Changing your mind about the plan you picked, or wanting a cheaper premium.
Deciding you no longer want the coverage while you are still employed and enrolled — see When do my health benefits end?
Missing your new-hire enrollment window. If your enrollment step recorded a decline you did not intend, that is a different fix — see How to get your benefits enrollment step reopened, and raise it quickly.
A new doctor, a claim problem, or a question about what your plan covers. Those go to the plan, not to an election change — see Who do I contact about my healthcare benefits?
The 30-day deadline, and when the clock starts
You have 30 days from the date of the event itself — not from the day you noticed, and not from the day you got the paperwork together. A wedding date, a birth date, or the date other coverage ended is the date that counts.
If the 30 days run out, your next opportunity is the following Annual Open Enrollment, unless another qualifying event happens before then. If the official document will take a while to arrive, send what you have now and tell us the original is coming rather than letting the window close while you wait.
When the change takes effect
An approved QLE change is effective as of the date of the event, not the date you asked for it or the date we processed it. That is also when the new deduction starts coming out of your pay. You will get written confirmation from us with the effective date on it.
How to request a change
Email support@ascen.com within 30 days of the event. Ascen handles benefit changes directly — you do not need to go through your staffing agency for this.
Tell us what happened, the date it happened, and the change you want (for example: adding a spouse, adding a newborn, dropping a dependent).
Attach your supporting documentation. Which document proves which event is set out in What documentation is required for a Qualifying Life Event (QLE)? — a request without documents is held, not approved.
We reopen your benefit selection so the change can be recorded, and confirm it in writing with the effective date.
A note on your 401(k)
401(k) contributions are not subject to these rules. You can generally change your deferral percentage at any time, with no qualifying event and no documentation — see How can I change my benefits?
If your Ascen coverage is the one ending
Losing coverage is itself a qualifying event under most other plans. If your employment with Ascen is ending and you or your family need to join a spouse's plan or another plan, that loss of coverage generally opens a 30-day window on that other plan — so find out your exact last day of coverage before your last day of work. See What happens to your health coverage between assignments and When do my health benefits end?, and email support@ascen.com with your expected end date.
This is a general explanation of how the benefit plan works, not individual tax or legal advice. For the precise terms of your plan, see your Summary Plan Description.
